Description The Administrative Assistant will oversee all administrative aspects of the Office of Admissions for List College and The Davidson School, while providing direct support to both the Directors of Admissions. The Administrative Assistant will act as a liaison between the Office of Admissions and prospective students as well as the JTS community. The Assistant will also provide administrative support to general JTS admissions projects and to the acting director of enrollment management.


Summary of Responsibilities:


Admissions:


- Manage admissions communication sequences by sending emails, letters and brochures within the established time parameters.


- Manage and update the admissions' database on a daily basis including entering and editing student information and applications for admissions.


- Maintain application files; organize incoming materials from applicants such as applications, letters of recommendation, transcripts and test scores.


- Generate admissions data reports.


- Schedule and oversee follow up for admissions team meetings.


- Maintain JTS-wide recruitment initiatives.


Recruiting:


- Coordinate and schedule prospective student meetings, tours, and interviews.


- Interact with prospective students and their parents by answering their questions and sending out materials in the mail and via email.


- Event planning responsibilities.


- Prepare and send admissions material to schools, camps and other groups.


General:


- Perform clerical duties for the office such as: handling incoming and outgoing mail, ordering supplies, answering phones, maintaining the office calendar, etc.


- Responsible for processing all communication regarding admissions applications, acceptance letters and scholarship notification.


- Maintain cleanliness and neatness of admissions office as needed.


- Coordinate travel for admissions directors and prepare expense reports.


- Perform other duties as seen necessary by the Directors of Admissions and the Acting Director of enrollment management.


Qualifications:


Organizational skills; Attention to detail; Ability to multi-task and take initiative; Excellent written and verbal communication skills; Strong Computer skills with advanced knowledge of Excel and Word; Customer service experience; Positive attitude, energetic, team player; Confidentiality and discretion; Familiarity with the Jewish community and/or college admissions; Bachelors degree required.
